The Member Services Coordinator provides oversight for the day-to-day operations of membership services.  This includes, but is not limited to, Welcome Center operations, staffing, and training of staff.  The position is also responsible for assisting the Branch Executive.  

SUPERVISORY RESPONSIBILITY:   May assist with overseeing, Member Services Representatives and Evening/Weekend Member Representative.

ESSENTIAL FUNCTIONS: 

  1. Serve as a role model to members and YMCA staff and live the mission, vision, and values of the YMCA movement.
  2. Ensure that the member experience is consistently meeting or exceeding member expectations.
  3. Train and delegate appropriate responsibilities to Member Service Representatives.
  4. Provide extraordinary service and responsiveness to member and guest needs.
  5. Ensure Member Service Representatives are performing essential duties and responsibilities outlined in their job description(s).
  6. Assist the Branch Executive in recruiting, retaining, and recapturing YMCA members.
  7. Assist in coordinating and planning of Member Appreciation Events, promotions and campaigns.
  8. Assist with scheduling and coordinating all Member Service Representatives, Evening and Weekend Member Representatives.
  9. Assist with interviewing, hiring and evaluating Member Service Representatives and Evening and Weekend Member Representatives.
  10. Prepare and distribute Tour thank you notes, new member welcome letters and new member information packets.
  11. Report member and guest comments, suggestions, complaints, concerns, and problems to supervisor in a timely manner.
  12. Ensure that YMCA Membership's Best Practices are adhered to.
  13. Maintain a high-level first impression by a clean, clutter-free, and attractive reception area and lobby.
  14. Complete records and reports as required on schedule and submit them to supervisor.
  15. Provide training in character development for staff and ensure that the principle of character development is communicated and targeted to members.
  16. Participate in and solicit others to participate in necessary YMCA financial development efforts, specifically the Annual Campaign.
  17. Maintain certifications listed under Certificates and Other Requirements.
  18. Adherence to all policies and procedures of Scott County Family Y.
  19. Understand and follow all safety rules and regulations including knowledge of emergency procedures and the location of emergency equipment.
  20. Regular and timely adherence to respective schedule/meetings.
  21. All other duties as assigned by the Branch Executive.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  1. Must have a High School Diploma or GED.
  2. Minimum 2 years prior customer service experience preferred.
  3. Strong verbal and written skills are required.
  4. Previous leadership and sales experience is preferred.
  5. Prior experience working in a fast pace environment is required.

CERTIFICATIONS AND OTHER QUALIFICATIONS:

  1. Must be able to pass background check
  2. Current CPR/First Aid/AED Certification*
  3. Must be able to pass SCFY CCC training and Cash Handling training.

*Note: If not currently certified, must obtain certification within 30 days of hire. All the above certification training programs are provided by the YMCA staff.

PHYSICAL DEMANDS:

Must be able to stand/sit for up to 8 hours at a time every day.  Must be able to lift up to 30 pounds occasionally.  Possess the ability to walk and climb stairs and be capable of navigating through the facility.   Must be able to reach with hands and arms and use hands to finger, handle, or feel. While performing the duties of the job, the employee is regularly required to see, talk and/or hear. 

WORK ENVIRONMENT:

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and vehicles.  The noise level in the work environment can vary from quiet to moderate during office hours and moderate to loud during event hours.  This position works in a combined environment of office setting and fitness facility.  This position works a standard work week, but additionally may be required to work evening, weekend, and additional hours to accommodate membership and branch activities and when representing the organization and events.
